Release Notes: Version 5.5.5 - New Features & Enhancements

Administrator Module

Financial Budgeting

Member Category Component - optional Account link

Up to now, every Member Component was required to have a valid Member Posting account linked to it.

This has been changed to make the Account selection against a Member Component optional i.e., a Member Component does not have to be linked to a Posting Account – the user is able to leave the dropdown box as ‘None’ and would still be able to successfully save on the ‘Member Component Accounts’ screen.

This applies to any and all Member Components i.e., the user is now able to successfully save without selecting an Account against any Category Member Component.

Activity – Cost Centre Account reallocation

This enhancement allows an Activity Input or Global Assumption to be populated from the Cost Centre Account Value balance of any Summary or Posting account, effectively allowing the Activity budget type to receive budget values from any other area of the system that can post to a Posting account.

Cost Centre Account option was added under the Source dropdown. Selecting this option, the user can select Account structure, source Account, Cost Centre structure and source Cost Centre.

The following import has been added for the Activity Reallocation setup.

The following report has been added for the Activity Reallocation.

User Switch JA – ‘Run Activity Recalculation as Scheduled Task’

User security switch JA – ‘Run Activity Recalculation as Scheduled Task’ has been added for the performance purposes.

• If user switch ‘JA - Run Activity Recalculation as Scheduled Task’ is unticked for the logged in user, then the Activity Recalc (which includes the Activity Reallocation Recalc) will immediately run on screen.

• If user switch ‘JA - Run Activity Recalculation as Scheduled Task’ is ticked for the logged in user, then the Activity Recalc (which includes the Activity Reallocation Recalc) will be set as a Scheduled Task.

Client Module

Financial Budgeting

Budgeting-Reporting click-through

Drilling down to an account or on Budget Type Capture View and right-clicking anywhere on the account line, context menu option ‘Go to: Latest Actuals’ will be displayed if the user has access to the Financial Reporting Module and the user has Capture or Enquiry access to the selected posting Cost Centre in the Fiscal Set assigned as “Comparative 1” to the latest Reporting Period.

Selecting ‘Go to: Latest Actuals’ menu option the Financial Reporting Overview page will be opened in a new tab for the selected Cost Centre, Account Structure and Account and for the latest Reporting Period.

Selecting ‘Go to: Latest Actuals’ menu option the Financial Reporting Overview page will be opened in a new tab for the selected Cost Centre, Account Structure and Account and for the latest Reporting Period.

Allocation, Grade, Activity, Member or Project Budget Types do not display the Posting Account, also more than one Posting Account can be linked to such budget types - thus ‘click-through’ from these Budget Type Capture View screens to the Financial Reporting Module is not available.

Member Category Component - optional Account link

With this enhancement, the admin user is no longer required to link a Posting Member Account to a Category Component.

This means that a Member Component could potentially not be posted to a Posting Account, however, the member recalc, member screens, exports and reports in which such a Component is displayed, still function as per normal.

All that has been changed is that the calculated/captured member Component values are not posted to an Account.

Classic View

·         If a Category Component has not been linked to a Posting Member Account, then that Component’s values will not be posted to any Posting Member Account.

·         If a Category Component has been linked to a Posting Member Account, then that Component’s values will be posted to the specified Posting Member Account.

Member Layout Profile View – Account tab

The Member values displayed on the Account tab are made up of all Category Components linked to the selected member account.

If a Category Component has not been linked to the selected Posting Member Account, then that Component’s values will not be included on the ‘Account’ tab.

If the source cost centre account combination is updated in Client, then the Activity Recalc will be run to update the Activity Reallocation Inputs:

If user switch ‘AR - Automatically Recalculate Formula Inputs’ is ticked for the logged in user, then:

• If user switch ‘JA - Run Activity Recalculation as Scheduled Task’ is unticked for the logged in user, then the Activity Recalc (which includes the Activity Reallocation Recalc) will immediately be run on screen.

• If user switch ‘JA - Run Activity Recalculation as Scheduled Task’ is ticked for the logged in user, then the Activity Recalc (which includes the Activity Reallocation Recalc) will be set as a Scheduled Task.

If user switch ‘AR - Automatically Recalculate Formula Inputs’ is unticked for the logged in user, then the Activity Recalc button and warning message will be displayed in client if an Activity on screen contains a Reallocation Input/ Global Assumption whose Source has been updated since the last recalc was run:
