Profiles

Structure Profile Level-Based Formatting

New Structure Profile settings have been added to make it quicker and easier to apply formatting (Border, Font, Font Style, Font Colour, Indent Character, Indent Symbol and Blank Row settings) to multiple rows that exist on the same level in the selected Structure. 

Note: Elements that share the same Structure level can be identified as those that have the same Code indentation:


 

When right clicking a row, the below context menu options will be displayed:

 


• Apply Level Formatting All - applies the selected row's formatting to all other rows in the structure that are on the same level.

• Apply Level Formatting Up - applies the selected row's formatting to all other rows in the structure that are on the same level, but only those above the selected row.

• Apply Level Formatting Down - applies the selected row's formatting to all other rows in the structure that are on the same level, but only those below the selected row.

• Reset Row Formatting - resets the selected row's formatting back to the default settings.

• Reset Level Formatting All - resets all formatting back to the default settings for the selected row, and all other rows in the structure that are on the same level.

• Reset Level Formatting Up - resets all formatting back to the default settings for the selected row, and all other rows in the structure that are on the same level, but only those above the selected row.

• Reset Level Formatting Down - resets all formatting back to the default settings for the selected row, and all other rows in the structure that are on the same level, but only those below the selected row.

Financial Budgeting 

Member - Alternate Formula Identifier

An Alternate Formula Identifier field has been introduced to allow the admin user to associate a more user-friendly code with each input number, to make formula calculations easier to read and interpret.

The system will use the Component code by default, which can be replaced at any time by typing in an Alternate Formula Identifier. Formulas will then be updated automatically to reflect the Alternate Formula Identifiers. 

Captured Alternate Formula Identifiers can be used in the formula builder and imports.

 


The ‘Category Component Currency’ import template has been updated to include the new ‘Alternate Formula Identifier’ column. 

Populating the ‘Alternate Formula Identifier’ column is optional, and can be left blank when importing (if required):

 


The ‘Category Component Currency’ Report and excel export template have also been updated to include the new ‘Alternate Formula Identifier’ column: 

 


Project - Budget/ Forecast Comparative columns

A new ‘Capture Type’ dropdown option has been added to Financial Budgeting Project Layout Profiles called ‘Budget/ Forecast Comparative’. This column will dynamically look up Project Comparative values in other fiscal sets, without the need for the admin user to import Project Comparative values (as was the case before). If selected, the admin user can then use the new ‘Data Set Number’ dropdown option to select Comparative 1 -> 5, as well as the new ‘Data Set Range’ dropdown column to select one of the below options:

• Full Year

• Year to Date

• Period 0 -> 14

 


The ‘Layout Profile Columns’ import template has been updated to include the new ‘Data Set Number’ and ‘Data Set Range’ columns. These 2 columns should be populated when using Capture Type = 9 (Budget/ Forecast Comparative). For all other Capture Types, the 2 new columns should be left blank:

Financial Modelling 

Run Rate Assumptions

Run Rate calculations have now been added to the Financial Modelling module, which allows the system to automatically extend trends into the future.

When adding new Assumptions, 2 additional ‘Assumption Types’ have been made available:

 


Assumption Percentages can be specified on the ‘Assumption Set’ screen for Straight and Compound Run Rate Assumptions:



On the ‘Account Attribute’ screen, ‘Run Rate’ type Assumptions are only selectable in the ‘Assumption 1’ dropdown box.

If the user selects a ‘Run Rate’ Assumption, then the remaining 4 Assumption dropdown box selections will be automatically excluded and disabled:

 


On the ‘Cost Centre Account’ screen, ‘Run Rate’ type Assumptions are only selectable in the ‘Assumption 1’ dropdown box. If the user selects a ‘Run Rate’ Assumption, then the remaining 4 Assumption dropdown box selections will be automatically excluded and disabled.

Right clicking the Straight or Compound Run Rate selection will allow the user to choose which of the source fiscal set's months to initially base the Run Rate calculations on:


 

When adding new Assumptions via import, 2 additional ‘Type’ codes have been made available:

 


A new ‘Run Rate Months’ import has been added under Imports > Financial Modelling > Run Rate Months.

This import will allow the user to specify which of the source fiscal set's months to initially base the Run Rate calculations on (Y = Yes) and which of the source fiscal set's months to exclude (N = No):

 


A new ‘Run Rate Months’ Report and Excel export template have been added under Reports > Financial Modelling > Run Rate Months:

 


Financial Consolidations 

Auto Eliminating Journals

Auto Eliminating Journal functionality has been added to the system to better facilitate Company Consolidation elimination entries.

A new ‘Auto Eliminating Journals’ screen has been added under Financial > Consolidations > Auto Eliminating Journals.

From the available Companies set up on the database, the Admin user will start by adding Companies from that list, onto the below screen, which identifies the companies as ‘Consolidation Companies’:

 


When editing or adding a new Consolidation, then on the Master Data tab in Admin, users will select the Company and Cost Centres where the elimination entries should reside, as well as the balancing accounts to be used for any foreign exchange differences:

 


On the Elimination Accounts tab, users can select the Companies, Cost Centres and Accounts that require automatic elimination:

 


 


The Journals tab is used to predefine template eliminating journal entries, by pairing Companies and Cost Centres with the Accounts requiring automatic elimination:

 


The Journal Category dropdown can be used to group related elimination journals together.

Eliminating journals can be set up as One-Time, Recurring or Reversing entries, and the user can also specify an optional date (End Year and End Period) for the system to automatically process the journals. 

• If the Admin user specifies a date against a One-Time journal, then the journal will be processed automatically on the date specified.

• If the Admin user specifies a date against a Recurring journal, then the recurring journal will be processed automatically (every month, every quarter or annually, as specified by the Frequency dropdown selection) until the date specified.

• If the Admin user specifies a date against a Reversing journal, then the originating journal will be processed automatically in the month preceding the date specified, while the reversal journal will be processed on the date specified.

Specifying ‘End Year’ and ‘End Period’ = None, will allow the admin user to setup journals on this screen that do not get processed automatically, but can rather be manually processed on the ‘Run’ tab, as and when the Admin user chooses to manually process the journals (the eliminating journals will then be posted into the Year-Period combination specified when the Run button is selected):

 


When the user selects the ‘Run’ button in the button bar, the system will calculate the Year To Date values of the Elimination Accounts (i.e. adds up the values from Period 0 – > the last day of the Run Year and Period selection) in the Consolidation Cost Centre’s ‘Cost Centre Currency’, for all the ‘Auto Eliminating’ Journals that fall into the selection criteria made on the ‘Run’ screen, and will generate Journal Entries for these.

If any of the Journals have ‘Recurrence’ = Reversing, then the originating Journals will be processed on the date that the ‘Run’ button is selected. The originating journal entries will be reversed on the first day of the following month (even if these Journals have an ‘End Year’ and ‘End Period’ specified. This is because the Admin user is choosing to manually run the Journal at this point in time).

If any of the Journals have ‘Recurrence’ = ‘One Time’ or ‘Recurring’, then these Journals will be processed on the date that the ‘Run’ button is selected (even if these Journals have an ‘End Year’ and ‘End Period’ specified. This is because the Admin user is choosing to manually run the Journal at this point in time). 

On the Audit Log tab, users can view the debit and credit elimination Journal entries, as well as the journal entries accounting for any forex differences:

 


 

The audit log can also be exported to Excel:

 


Journal Recalculation

The Auto Elimination Journal values are stored in the Actual Adjustments area of the system. 

The Journal Recalculation can be run in order to post the Auto Elimination Journal entries into the Financial Reporting module:

 


Journals

A new checkbox: Include Auto Eliminating Journals has been added to the Journals screen. Checking the box will cause any relevant auto elimination journal entries to be included on the screen:

 


If the Include Auto Eliminating Journals checkbox is ticked when the Export button is selected, then any relevant auto elimination journal entries will be included in the Excel export:

 


Imports

New imports have been added under Imports > Financial > Consolidations > Auto Eliminating Journals:


  

Example: If different Companies have been set up as Cost Centres within the same IDU Company, then a Layout Profile can be created in Admin to show the Source Cost Centre values, the auto elimination values, and the combined Consolidation values, as follows:

 


Columns 1, 2 and 3 hold the Actual values of the 3 different Cost Centres (i.e. Companies) being consolidated. All 3 columns are Dimension columns that have Cost Centre Filters applied to them.

Column 4 holds the Actual Adjustment values of the Consolidation Cost Centre that holds the auto elimination values. This is also a Dimension column that has a Cost Centre Filter applied to it:

 


Column 5 is a formula column that adds the Actual values of the 3 different Cost Centres (i.e. Companies), together with the auto-elimination values, to provide the ‘Total Consolidation’ values.

In Client, the Layout Profile shows the Actual values for the 3 different Companies, the auto-elimination values, and finally the Total Consolidated values:

 


 

Client Module

Financial Budgeting

Activity Tooltips

When hovering over an Activity Input or Global Assumption, a tooltip will be displayed indicating the type of Input/ Global Assumption:

 


When hovering over a Source Reallocation row on the Activity screen, the tooltip will include the Activity Reallocation Code - Description, making trouble shooting easier in the Admin module:

 


Financial Modelling

Run Rate Assumptions

If ‘Run Rate’ type Assumptions have been created in the Admin module, then these will be selectable from the ‘Assumption 1’ dropdown box in Client. If a ‘Run Rate’ type Assumption is selected, then the remaining 4 Assumption dropdown box selections will be automatically excluded and disabled.

Right clicking a Straight or Compound Run Rate selection will allow the user to choose which of the source fiscal set's months to initially base the Run Rate calculations on:

• Straight Run Rate calculation: (Average of the selected months)*(Assumption Set %)

• Compound Run Rate calculation e.g. for the first period with the below month selections: ((Feb+Mar+Apr+May+Jun)/(Jan+Feb+Mar+Apr+May)*Jun)*(Assumption Set %)



 Asset Compact Mobile

Up until now, the Asset Compact module, which allowed users to Verify and Transfer assets using their mobile devices, was accessed through a dedicated Asset Compact platform:


 From version 592 onwards, the Asset Mobile module will now be accessible via the normal client module selector, the screens scaling automatically when accessed via a mobile device:

 


All existing Asset Compact functionality such as Verifying and Transferring Assets, will still be available, via the 3 tabs displayed at the bottom of the screen:
